Squarespace Website Admins: How To Add Them And What the Roles Mean

Adding an admin to your Squarespace website can be super helpful when managing multiple people logging in plus, you don't give out your password anymore!

First, let’s go over a few reasons why you’d want to provide a unique admin account to someone working on your Squarespace website.

1. You don’t want to keep changing your login each time someone is no longer working with you.

2. You want to control what they can and can’t do on your Squarespace website. For example, this means your store manager can’t switch account ownership to him or herself or the person in charge of managing comments can’t accidentally mess with billing.

3. You want to be able to remove the person easily when they are no longer working with you. It’s a lot easier to change their role on your Squarespace website or to take them out entirely if they have their own admin account.

So how do you create a new admin account on Squarespace?

1. Make sure you have the name and desired email of the person you’d like to add.

2. Log into your Squarespace account and click on your website. You’ll see the panel on the left with Pages, Design, etc.

3. Click on settings.

4. Click on Permissions.

5. Click on “Invite A Contributor.”

6. Enter the person’s name, email and select a role for them.

7. Click Invite and done!

The person will need to check their email and accept the invitation. Then they’re in!

Note: Squarespace 7.0 and 7.1 use the same process.

So what do all those roles mean on the Squarespace admin panel?

1. Site Owner - this is the person who owns the website and has full rights. They can add and take anyone away. This is super similar to the full admin but only the site owner can transfer the ownership. For me, this is my role when I first start on a website. Once it’s complete, or the site is at a good point, I transfer it to the client.

2. Administrator access - great for a person who will be running your website or needs access to multiple places. If I’m working on a website I didn’t start (or am no longer the owner) usually Full Admin is the way to go.

3. Content Editor - As a designer, I don’t really like this one because you can’t create new pages or make overall style changes. You’d assign this website role to someone who is only updating what’s currently created, such as a weekly home page update.

4. Billing - billing and this is for your finance person. Let’s say it’s someone in your business that needs to double-check sales, etc.

5. Store Manager - In Squarespace, this helps your team member manage your online store, such as fulfilling orders or managing products, without allowing access to change out the whole set up of the site.

6. Scheduling - you can test this one out if you’re on a trial but essentially, it’s a role for someone who is in charge of scheduling (clients or users). For example, a spa.

7. Reporting - this role is perfect if you have someone in your business managing analytics. I’ve never had to use this one simply because if I’m managing analytics, I’m likely doing it from Google Analytics and would need more permissions since I’m typically also redoing the website.

8. Trusted Commenters - in Squarespace, this role is for those that you don’t want to double-check what they’re commenting on. They don’t get notifications from your website but they can comment and reply to comments.

9. Comment Moderators - you could use this one for the person in charge of getting notification of comments so they can comment back and reply.
